b. Some programmes may run for shorter periods or as standalone events.
3. Bookings and Payments
a. All bookings must be made via Ruggerbees’ online booking system or official booking links.
b. Full payment must be made at the time of booking.
c. Bookings are not confirmed until payment has been received.
d. Ruggerbees does not accept cash or bank transfer payments unless explicitly stated.
4. Booking Commitment & Refund Policy
a. All Ruggerbees bookings, whether single sessions, multi-session programmes, or special events, are final and non-refundable.
b. Each booking secures a specific place and staffing resources, which cannot be resold once booked.
c. No refunds or credits will be issued where a parent/carer changes their mind, no longer wishes to attend, or decides the session or programme is no longer suitable, for any reason.
d. Non-attendance, late arrival, or early departure does not entitle the participant to a refund or credit.
e. Exceptions will only be made where required by law or at the sole discretion of Ruggerbees, agreed in writing in advance.
5. Cancellations by Parents/Carers
This section does not apply to bookings, which are subject to the Booking Commitment & Refund Policy above.
a. If a participant is unable to attend a session, no refund will be issued.
b. Where cancellation is received at least 48 hours before a session, Ruggerbees may offer a credit at its discretion.
c. Missed sessions due to illness, holidays, or personal commitments are non-refundable.
6. Cancellations by Ruggerbees
a. If Ruggerbees cancels a session, a replacement session or credit will be offered.
b. Refunds will only be provided where a replacement or credit cannot reasonably be offered.
c. Sessions may be cancelled due to weather, venue unavailability, or circumstances beyond Ruggerbees’ control.
7. Assumption of Risk
a. Rugby is a physical contact sport and carries an inherent risk of injury, including serious injury.
b. By registering a participant, parents/carers acknowledge and accept these inherent risks.
c. Participation in all Ruggerbees activities is entirely voluntary and at the participant’s own risk, subject always to Ruggerbees’ duty of care.
8. Limitation of Liability
a. Ruggerbees, its coaches, employees, and volunteers shall not be liable for any injury, loss, or damage sustained during participation, except where such injury, loss, or damage arises as a direct result of proven negligence or breach of statutory duty.
b. Ruggerbees accepts no responsibility for loss or damage to personal property brought to sessions.
9. Medical Information and Emergency Treatment
a. Parents/carers must disclose all relevant medical conditions, allergies, additional needs, previous injuries (including head injuries or concussion), or behavioural concerns at the time of booking.
b. Parents/carers must ensure participants bring any required medication (including inhalers and EpiPens) to every session.
c. In the event of illness or injury, Ruggerbees staff are authorised to administer basic first aid and to seek emergency medical treatment where reasonably necessary if a parent/carer cannot be contacted.
10. Concussion and Head Injury Policy
a. Ruggerbees adopts a strict “Recognise and Remove” approach to concussion and suspected head injuries in line with RFU and accepted medical guidance.
b. If a participant sustains, or is suspected of sustaining, a concussion or head injury (whether through a direct or indirect impact), Ruggerbees reserves the absolute right to immediately remove the participant from all rugby activity.
c. Any decision to remove a participant due to suspected concussion or head injury is final and shall not be subject to challenge by parents/carers, participants, or third parties.
d. A participant who is removed due to suspected concussion or head injury will not be permitted to return to play or training on the same day, under any circumstances.
e. Parents/carers acknowledge and accept that symptoms of concussion may develop or worsen after the session and agree to monitor the participant closely and seek medical advice where appropriate.
f. A participant removed due to suspected concussion or head injury must not return to any Ruggerbees activity until:
- they are symptom-free; and
- they have completed an appropriate rest and graduated return-to-play period consistent with age-specific guidance; and
- where requested by Ruggerbees, written medical clearance has been provided.
g. For participants under the age of 12, parents/carers acknowledge that a minimum rest period of 14 days applies before any return to contact rugby activity.
h. Ruggerbees accepts no liability for any consequences arising from a parent’s or participant’s failure to comply with medical advice or return-to-play requirements.
11. Parent/Carer Responsibilities
a. Ensure all registration details are accurate and kept up to date.
b. Notify Ruggerbees immediately of any changes to medical, emergency contact, or safeguarding information.
c. Ensure participants arrive on time and are collected promptly at the end of sessions unless otherwise agreed.
12. Behaviour and Conduct
a. Participants must behave respectfully and follow all coaching and safety instructions.
b. Ruggerbees reserves the right to remove any participant whose behaviour is unsafe, disruptive, or places themselves or others at risk.
c. No refund will be issued where a participant is removed due to behaviour.
